The deposit leaves your account on a Tuesday. The factory confirms receipt the same week, sends a photo of the steel arriving, and then goes quiet for a month — not because anything is wrong, but because nothing photographable is happening.
That month is where Brazilian import projects get into trouble. Not at the supplier-selection stage, which is the part everyone prepares for.
The assumption I would challenge
Most first-time buyers from Brazil treat supplier trust as the central risk: will this factory take my money and disappear? It happens, but it is not the most common way a project goes wrong.
The more common failure is a project that is technically fine and financially mispriced — because the quotation covered the machine and not the rest of it, and because the payment schedule put all the leverage on the supplier’s side at exactly the point where the buyer needed it.
What the deposit actually buys you
A standard payment structure in this business is 30% deposit with the balance before shipment, settled by T/T. That is a normal and defensible arrangement on both sides — the factory is financing steel, casting and labour for roughly two months before it sees the rest of the money.
The problem is not the ratio. It is what the buyer holds while the deposit is outstanding.
Sixty days is a long time to hold no leverage. The remedies are unglamorous and they work:
Put the specification in writing before the deposit, not after. The most expensive disputes in this business are not about quality failures — they are about two parties who each believe they agreed to something different. A specification with model numbers, voltages, output targets and included accessories, signed by both sides, converts most of those disputes into a two-line email.
Agree the acceptance test in advance. Whoever inspects the machine, and against what document, should be settled before the deposit rather than when the machine is finished and the balance is due.
Keep the balance tied to something observable. A balance that is released against a functional test, with the test defined in the contract, behaves differently from a balance released against a shipping date.
Where the money actually goes
A machine price is not a project cost. Buyers who model only the machine tend to be surprised by the same four items: freight, insurance, destination charges, and the cost of whatever the machine needs in order to run — power supply work, compressed air, a foundation, or a technician who has to fly out.
There is also a version of this that hides inside the quotation itself. Two suppliers can quote the same model at visibly different prices because one has included the accessories and one has not. Neither is lying. They are pricing different scopes, and the price comparison is only meaningful once the scopes match.
Currency, and why it matters more this year
The renminbi has been strong. The central parity rate stood at 6.7743 per US dollar on 11 September 2026 — its strongest in more than three and a half years — while the onshore rate closed at 6.7079 on 9 September, a four-year high (中国外汇交易中心, 2026-09-11).
For a Brazilian buyer this runs through the quote in a way that is easy to miss. Chinese suppliers quote in US dollars, cost in renminbi, and a stronger renminbi means a thinner margin on the same dollar price. That pressure has to land somewhere: on the price, on the specification, or on the supplier’s willingness to hold a quote open.

It is worth noting that a stronger renminbi is not automatically bad news for a buyer. It makes the machine cheaper in dollar terms than it would otherwise be. The risk is not the direction — it is a supplier who quoted at one rate and delivers at another, with the difference settled by trimming the specification.
Freight is not a detail here either
Global container rates have been flat rather than falling: the Drewry World Container Index stood at $4,476 per 40 ft container on 10 September 2026, unchanged for a second consecutive week (Drewry, 2026-09-10).
Flat global indices do not tell you what a South America east coast routing will cost you, and long-haul routes to the region behave differently from the Asia–Europe lanes the index focuses on. Which is the practical point: ask your supplier for the freight basis and the validity date, and treat any CIF figure without an expiry as provisional.
What to verify before money moves
- Confirm the factory exists as a legal entity, not only as a storefront.
- Check the business scope on the registration against what you are actually buying.
- Ask for the export record — has this factory shipped this product outside China before?
- Get the specification signed, not just discussed.
- Name who inspects the machine, and against what document.
- Confirm what the quotation excludes as carefully as what it includes.
None of this requires flying to China. All of it requires someone who can read the documents in the language they were written in and tell you which ones are missing. That is the narrower, less exciting version of what a sourcing partner does — and it is where most of the value sits on a first order.
FAQ
Should I pay a deposit to a supplier I have never met?
Some form of advance payment is normal in machinery trade. The work is in making the deposit conditional on something you can verify — a signed specification and a defined acceptance test — rather than trusting the supplier on the strength of a conversation.
Is it safe to buy through Alibaba on a first order?
A platform improves visibility and gives you a record of the transaction. It does not verify that the specification matches what you need, and it does not inspect the machine before shipment. Those remain separate jobs.
How do I check a Chinese supplier without flying there?
Company registration records, export history, references from buyers in your region, a live video walkthrough of the production floor, and a third-party inspection before shipment. Each is imperfect alone; the combination is what makes a decision defensible.
What if the machine arrives and it does not match the specification?
This is why the specification and acceptance test are agreed before the deposit. Without them, you are negotiating from memory. With them, you are pointing at a signed document.
Do I need a sourcing agent for a first order?
Not always. But a first order is where the cost of a missed detail is highest relative to the size of the order, which is the situation where an experienced second pair of eyes pays for itself most quickly.
Where the risk actually sits
The supplier is the risk you can see. The unsigned specification is the risk you cannot.
A verified supplier with a vague specification will still deliver something — just not necessarily the thing you thought you bought. That is the failure that costs a production season rather than a deposit.
If you are preparing a first or second order from China and want the documents reviewed before money moves — supplier registration, quotation, proforma invoice, specification — send them over. We read them in Chinese and tell you what is missing, usually within 24 to 48 hours. Get a quote in 24 hours, or reach us on WhatsApp at +852 9702 5284.
